This lesson explains how to use the Rate Cards tool in CMAP. The tool is used to set up new Rate Cards, change existing Rate Cards and archive Rate Cards that you don’t use any more.
NOTE: It is important that every Role has an hourly Rate in every Rate Card. For example, you may create a special Rate Cards which only requires two Roles to be budgeted. If, however, someone with another default Role jumps on that project (which happens all too often!), their hourly Rate will be £0 (unless otherwise updated) and the time they book to their timesheet will have no value. This means your Budget vs. Actual tracking will be inaccurate. Always ensure a sensible figure (e.g., the Standard Rate for the Role) is added to cover these eventualities.
Adding a New Rate Card
Step 1: Go into the Finance tab, find the Rate Cards tool and click it.
Step 2: Click the Add New Rate Card button at the top-right of the screen.
Step 3: Fill in the necessary details to define the new Rate Card:
• Rate Card Name – What you want the Rate Card to be called e.g. 'Standard Rates (GBP)'.
• Currency – The Currency the Rate Card will calculate in.
• Standard Rate – Tick this if you would like the rate card to become the default Standard Rate Card for the Office.
NOTE: Selecting a standard rate here will archive off the existing standard rate and make this new one the active one.
Enter the rate for each role, if you prefer to enter your rates in days, use the toggle at the top of the roles list.
Step 4: Click Save.
Editing a Rate Card
Step 1: Go into the Admin tab, find the Fee Estimator Templates tool and click it.
Step 1: Click the Edit pencil icon next to the appropriate Rate Card.
Step 3: Make the required edits to the Rate Card.
Step 4: Click Save.
NOTE: When you edit a Rate Card, the edits take effect from the moment you make the change. Any projects associated to that Rate Card prior to the edit will still will retain the previous Rates. (It will now just appear as an “Archived” version of that rate card: which is created every time an edit is made).
Archiving a Rate Card
Step 1: Go into the Admin tab, find the Fee Estimator Templates tool and click it.
Step 2: Click the 'X' next to the appropriate Rate Card.
Step 3: When the pop-out 'Are you sure you wish to archive this rate card?' window appears, click Yes.
Restoring a Rate Card
Step 1: Go into the Admin tab, find the Fee Estimator Templates tool and click it.
Step 2: Click the Show Archived Rate Cards link (which will now show a list of the Rate Cards that have been Archived).
Step 3: Locate the Rate Card you wish to Restore. Click Restore next to it.
The Rate Card will be available to select in the Fee Estimator tool again.
